Privacy policy
AapliSociety, made by TechMARK Software Solutions, helps a housing society run its maintenance bills, receipts, expenses, notices, visitors and other daily work. This page says what the app keeps, why, and what you can do about it. Last updated 5 November 2026.
What we keep
- Your identity in a society: name, mobile number, the flat(s) you are linked to, your role (member, committee, guard …) and a 4-digit PIN. The PIN is stored only as a one-way hash, never as typed.
- What the society records about you: bills, receipts, payments you report, complaints, votes, bookings, vehicle numbers and parking, visitor entries and similar records that the committee enters or you enter yourself.
- Optional things you add: a profile photo, pictures, documents, voice notes, a private diary, and id details if the society asks for them (only the last 4 digits of an id number are kept).
- Your phone: a device id, the phone model name and a push-notification token, so alerts can reach you. Sign-in attempts are logged for security.
- Subscription payments (admin, secretary, treasurer only): the payment reference given by the payment partner (Razorpay or Cashfree). We never see or keep your card or bank passwords.
Why
Only to run the society’s work inside the app: sign you in, show you what you owe and have paid, keep the society’s books, send you alerts and keep the society safe (gate, SOS). We do not show advertisements and we do not sell your information.
Who can see it
- Your society’s committee sees the society’s records. Members see their own flats, and the society’s accounts if the society allows it.
- Other societies can never see your society’s data; every record belongs to one society.
- Your private diary is readable only by you, not even by the admin.
- Service providers that only carry the data for us: our server host, Google Firebase (to send notifications) and the payment partner for subscription payments.
Camera, microphone, contacts, location
The app asks for these only when you use the matching feature (photo, scan a card, voice note, “send to a member from my contacts”). You can refuse; the rest of the app keeps working.
Keeping and deleting
Society records (bills, receipts, books) must stay whole for the society’s accounts and audit, so they are kept while the society uses the app. You can delete your own account at any time (see how to delete your account): you are taken out of the society, your private diary, photo, push tokens and PIN are erased, your name in the society’s old records becomes “Deleted user”, and your mobile number is freed.
A society’s admin can export all of the society’s data (Settings → Society → Export) and can ask us to delete the whole society.
Security
Traffic is encrypted (HTTPS), PINs are hashed, a wrong PIN locks sign-in for a while, an admin can block a lost phone, every change is written in an audit log, and the database is backed up regularly. You can also protect sign-in with your fingerprint.
This website
This website has no advertisements, no tracking and no cookies. It only remembers the language you chose, inside your own browser. WhatsApp and e-mail links simply open those apps; what you send us there we use only to answer you.
Children
The app is for residents of housing societies. It is not meant for children to use on their own.
